How to plan a forum retreat your members will talk about for years.

Planning a once-in-a-lifetime retreat is a big lift. In most forums it becomes a second job for whoever volunteers — researching destinations, negotiating with hotels, vetting local partners, and hoping the plan holds together on the ground. After more than two decades of planning retreats for my own forum, here is what I know actually makes the difference.
Start with the forum, not the destination.
The best retreats are customized around one group: its goals, its budget, and the way its members like to spend time together. A forum that bonds over adrenaline needs a different week than one that bonds over long dinners. Decide what your forum needs from the time together first, and let that shape everything else.
Decide the length of stay and budget early.
Most forum retreats run four to seven days. Shorter trips compress the experience; longer ones give the unstructured time where the real conversation happens. Set a budget range early — it determines the destination shortlist, the level of private access, and how much of the logistics can be taken off the volunteer planner's plate.
Choose experiences you can't find in a guidebook.
A memorable retreat is about the right table. A door opening you didn't know existed. The places tourists walk past. The night nobody wants to end. Private access, local experts, and trusted partners matter far more than star ratings — and they are the hardest part to arrange without relationships on the ground.
Pace the days for connection.
Every day should be paced for real conversation, forum sessions, shared discovery, and unstructured time where the bonding actually happens. Overscheduled itineraries exhaust people; underscheduled ones waste the setting. The rhythm is the retreat.
